CH2M is seeking a full-time Document Controls Professional 5 to join our growing team in Anchorage, Alaska. The purpose of this position is to provide support and oversight in the definition and implementation of Document Management and Information Systems for State & Local Government Sector programs and projects. Duties may encompass global programs and projects. As a Document Control Professional, you may be responsible for large program/project implementation, budget and staff management, as well as developing processes and procedures according to the dynamic needs of our clients and services. Experience should include knowledge of common policy and general industry trends from project inception to project closeout, including records archiving, retention and destruction practices. Strong knowledge of commercial documentation practices and requirements desired, with experience in supporting claims and litigations.
Must be a self-motivated, effective communicator, with a strong background in information and documentation management in Engineering, Program Management and Construction Management services. This would include a minimum of 7 years at the supervisor level directly responsible for policy, staff, budgets and systems platform performance. Strong candidates will possess knowledge of industry standards, competitor solutions and general trends in the market. Position will be based in Anchorage, AK with frequent travel of variable duration to support program/project needs. Longer term assignment and relocation opportunities may be presented in the future based on portfolio demands.
Our Document Controls Professionals:
Set-up Collaboration Site, establish systems and tools for document controls.
Write Document Controls Plan, that becomes part of Project Execution Plan.
Support project specific tasks and implement document control concepts as defined in the Project Execution Plan.
Identify project requirements, establish standard process/policy locally, and perform quality reviews of overall communication and documentation processes on systems platform.
Provide direct contribution to the daily management of document controls.
Process and distribute communications and information flow such as submittals, requests for information (RFI’s), clarifications, pay requests and change orders, etc.
Manage documentation during design, construction, commissioning and closeout phases of projects.
Maintain project files in hard-copy and electronic retention systems as required.
Assist program/project team with the timely retrieval of documents and assembly requirements of internal and external audits.
Independently prepare reports, presentations and correspondence, coordinate production, schedule and coordination of support services including graphics, editing and reproduction, IT and project level business processes.
Provide administration and oversight of the document management systems related to project delivery: Aconex, SharePoint, Project Wise, at a minimum.
Manage project specific budgets and expenditures.
Ensure quality/compliance of project document management plans, staff and process, as well as alignment with project and corporate requirements.
The minimum qualifications for this position are:
Associate’s Degree from an accredited university or college
Experience in developing, implementing and managing Document Management solutions using Aconex and SharePoint
Minimum 10 years’ experience with project/program document management solutions
Experience in management of staff, budgets, planning, process and systems
Must have strong negotiation skills and experience presenting to project management and general staff
